PictureYour.Events — How It Works (Detailed Guide)

PictureYour.Events gives you a simple, “no account required” way to collect photos and videos from guests after an event (weddings, parties, reunions, corporate events, etc.).
Uploads are handled by Nextcloud (a secure file-sharing platform). Guests upload directly into your event folder using a public upload link.


What You Receive After Purchase

After your checkout is successful, the system automatically creates:

  1. An event folder in Nextcloud — this is where guest uploads are stored.

  2. An Upload Link (Guest Link) — guests can upload files without logging in.

  3. A View Uploads Link (Organizer Link) — lets you view what has been uploaded.

  4. A Download Everything (ZIP) Link (Organizer Link) — download all uploads at once.

  5. A QR code for the Upload Link — perfect for signage.

  6. Your Event Portal page (on PictureYour.Events) — a simple page with buttons for Upload / View / Download.

Important:
✅ Guests should only receive the Upload Link (or QR code).
👀 The View and Download links are intended for the organizer.


Your Event Portal (Your Control Center)

Your Event Portal includes these buttons:

  • Upload Photos/Videos (Guest Upload Link) — send this to guests.

  • View Uploads (Organizer) — browse what guests have uploaded.

  • Download Everything (ZIP) (Organizer) — download the full folder as one ZIP.


Guest Instructions — How to Upload

When guests click the Upload Link, they will be taken to a Nextcloud page (often labeled something like “PYE Upload Link”).
The page may look mostly blank until files are uploaded. Uploading is done using the + New button.

Upload from a Computer (Windows / Mac)

  1. Open the Upload Link (or scan the QR code).

  2. Click + New.

  3. Select Upload files (most common) or Upload folders.

  4. Select one or more files.

  5. Once files are selected, the Open button becomes available.

  6. Click Open to start uploading.

Tips for guests:

  • Uploading multiple files at once is fine.

  • Large videos may take longer — keep the tab open until finished.

  • If something fails, try fewer files at a time.

Upload from a Phone (iPhone / Android)

  1. Tap the Upload Link (or scan the QR code).

  2. Tap + New.

  3. Tap Upload files.

  4. Select photos/videos from your phone.

  5. Confirm and allow the upload to complete.

Phone tips:

  • Use Wi-Fi for large videos if possible.

  • If a video is huge, upload it by itself.


Organizer Instructions — View & Download

View Uploads

Click View Uploads in your portal to browse the event folder and see what has been uploaded.
You can also download individual photos/videos if needed.

Download Everything (ZIP)

Click Download Everything (ZIP) to download the full event folder as one ZIP file.
This is the easiest way to save a complete copy for editing, backup, or sharing later.

ZIP tips:

  • If your event has lots of video, the ZIP may be large.

  • Give it time — some systems generate the ZIP on demand.

  • If it fails due to size, download in parts from the View link.


Retention Policy (How Long Uploads Stay Available)

Default retention: Files are kept for 90 days after your event date (based on the event date you enter at checkout).
After the retention period, links may expire and/or uploads may be removed as part of routine cleanup.

What you should do:

  • Download your ZIP before the 90-day period ends.

  • For extra safety: download once shortly after the event, then again later after more guests upload.


Recommended Sharing Workflow

Before the Event

  • Put the QR code on signage (welcome table, bar, guest book table).

  • Add the Upload Link to your event website.

During the Event

  • Have the DJ/MC announce: “Scan the QR code on your table to upload photos and videos!”

After the Event

  • Text/email guests: “Thanks for coming! Upload any photos/videos here:” (your Upload Link)


Troubleshooting

“I don’t see the Open button.”

On most systems, Open appears only after you select files.

“It says No files.”

That’s normal before uploads happen.

“Upload failed / stuck.”

  • Try fewer files at once.

  • Switch Wi-Fi/cellular.

  • Try a different browser (Chrome or Safari are best).

  • Upload large videos one at a time.


FAQ

Do guests need an account?

No. Guests upload using a public Nextcloud upload link.

Can guests view what others uploaded?

The Upload Link is intended for uploading. The organizer uses the separate View Uploads link to browse everything.
